What personal data we collect and why we collect it?

Profile Data

Some content on the website is restricted to access only by residents of the community by the use of a login. In order to log in to the website, a resident must first physically register with the HOA front desk in person.

At registration, the data collected from each resident are the email address along with their first & last name, phone number and street address. Additional information may be added by the resident if they choose but none of it is required and none of it is displayed to anyone other than the resident and the website administrator. This information will be placed in the user’s profile and stored at the website. Once registered and residency is validated by the office, the resident user may use that email to login on the website and subscribe for HOA emails.

A logged in resident may modify or remove any information in their profile. This can be done by clicking on the logged in icon in the upper right corner of all web pages and access the profile update form.

When a resident no longer resides in the community their login credentials and profile data is removed from the website. The website administrator will use the phone number and street address to confirm the identify the user.

Comments

When a logged in resident leaves a comment or question on the site we collect the data shown in the questions form and their email address under which they are logged in. These comments are screened by the HOA manager or staff and presented to the HOA Board of Directors or one of their committees for a response. If a response is generated the question and the response will be posted on the website and will be accessible by logged in resident users only.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using that service. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your question, your profile picture is visible to logged in users in the context of any questions you may have posted.

Event Ticket Sales

For some social events the HOA will sell tickets that can be bought on-line. As part of the purchasing process the email address, name, phone number, and address may be collected. This will be used only for tracking of the ticket until the event completes. 

If a credit card is used to purchase the ticket, the credit card information is collected and used by the clearing house and not by our website.  The clearing house can be PayPal or Stripe.

Media

No user provided media may be uploaded into our website other than activities photos.  Those uploaded photos are screened by the Activities Committee and Newsletter Committee and selected photos are retained in the Activities archives.  No photo may be posted on the website, viewable to the general public, without permission of residents contained in the photo.

Restricted access

Some content on our website is restricted to logged in residents of the HOA. Therefore we retain login data for that purpuse.

Cookies

If a resident visits our login page, we will set a cookie containing a login token such that subsequent visits to the site on the same computer and browser will not require the user to log in again. This cookie contains no personal data. The cookie expires after one year following the last access. If you log out of your account or clear the cookies in your browser, the login cookie will be removed.

Embedded content from other websites

Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites, behaves in the exact same way as if the visitor has visited the other website. Such content is from our image editor (Canva.com) or our email sending provider (MailChimp.com)  and contains no embed additional third-party tracking.

Analytics

We do collect composite information related to website traffic but such data does not contain any user identifiable information. We do not use Google Analytics.

Do we send email to users?

We send email to registered users to verify the email address, to provide login credentials, and to provide a requested password reset link. Registered residents may also register themselves for the HOA email lists which will send an email to the user for conformation of subscription to the email list and will send periodic emails to subscribed residents related to the operation of the HOA. The users may unsubscribe from these email lists at any time by clicking the unsubscribe link at the bottom of all emails.

The website also sends email notifications to the event ticket purchaser if the ticket is purchased on-line.

The updated privacy policy will be emailed to all registered residents each year or whenever it is modified.

Who we share your data with?

We do not share our data with anyone other than, the staff at Seabreeze management Company, the management company that is hired to maintain our HOA data. The data stored at the management company’s facility is held exclusively for HOA’s use and not for the management company’s benefit. We do not sell or share our data and never have.

How long do we retain your data?

If you leave a posted question, the question and its metadata may be retained indefinitely. This is so we can recognize and approve any follow-up responses.

For residents that register for a login at the HOA front desk, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username which is their email address). Website administrators can also see and edit that information.

If social event tickets are purchased on-line, that information is retained only until the event is competed.

What rights you have over your data?

If you have a login account on this site, or have posted a question, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you on the website. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

When a user is logged in, the user’s profile information can be accessed by clicking the icon in the upper right corner of any page.

Where we send your data?

Visitor or logged-in resident data is not sent to any other party for any purpose. Website login data remains on the website hosting facility and email subscription information is retained at the email sending service but under exclusive control of the HOA.

Who is the website targeted to?

This website targets 55+ people who may be looking for a wonderful place to live and to our HOA residents who have already found this wonderful place to live. We do not target to children.

Additional information

How do we protect your data?

Your login data is maintained in a password protected database at BlueHost.com which host the website. Only password hashes (one way encryption) are stored in the database, not the actual password.

Your email subscription data is held in a password protected database at our email sending service (MailChimp) under complete control of the HOA.
